Privacy policy

1. WHAT IS PERSONAL DATA AT OLIMP?

At Olimp, we believe strongly in fundamental privacy rights and that those fundamental rights should not differ depending on where you live in the world. That’s why we treat any data that relates to an identified or identifiable individual or that is linked or linkable to them by Olimp as “personal data,” no matter where the individual lives. This means that data that directly identifies you, such as your name is personal data, and also data that does not directly identify you, but that can reasonably be used to identify you such as the serial number of your device is personal data. Aggregated data is considered non-personal data for the purposes of this Privacy Policy.

This Privacy Policy covers how Olimp or an Olimp-affiliated company (collectively, “Olimp”) handles personal data whether you interact with us on our websites, through the Olimp app, or in person. Olimp may also link to third parties on our services or make third-party apps available for download in our App Store. Olimp’s Privacy Policy does not apply to how third parties define personal data or how they use it. We encourage you to read their privacy policies and know your privacy rights before interacting with them.

2. MOBILE APPLICATION PRIVACY DISCLOSURES:

This section applies specifically to the Olimp mobile application, including any updates, enhancements, or new features made available from time to time (the “Mobile App”), and supplements the information provided elsewhere in this Privacy Policy. It is intended to provide additional transparency regarding the collection, use, storage, and sharing of information in connection with users’ installation and use of the Mobile App.

The Mobile App may involve data practices that differ from those applicable to Olimp’s website or other services, including the use of mobile device permissions, on-device storage, and third-party mobile analytics tools. Accordingly, the disclosures in this section are specific to mobile functionality and are provided to comply with applicable mobile platform requirements, including those imposed by the Apple App Store and Google Play.

Where this section conflicts with or supplements any other provision of this Privacy Policy, this section governs with respect to the Mobile App. All other provisions of this Privacy Policy continue to apply to the extent they are not inconsistent with the disclosures set forth herein.

3. DEVICE PERMISSIONS AND ACCESS

The Olimp mobile application is intentionally designed to minimize data access and to request device permissions only where such access is necessary to enable core operational functionality. The Mobile App does not access device features surreptitiously, does not operate permissions continuously in the background, and does not access device data beyond what is expressly authorized by the user at the time of use.

All device permissions are managed through the user’s mobile operating system settings, and users may enable, limit, or revoke permissions at any time. Certain features of the Mobile App may not function as intended if required permissions are disabled.

Photo Library Access: The Mobile App requests access to a user’s photo library solely to allow users to select and upload specific images or documents that the user affirmatively chooses to submit in connection with warehouse operations, inventory management, documentation, or related workflows. Olimp does not automatically access, index, scan, or analyze the contents of a user’s photo library, nor does it retrieve metadata unrelated to the selected media. Access to photos or documents occurs only at the moment a user initiates an upload action within the Mobile App. Media files selected for upload may be temporarily processed and transmitted to Olimp’s servers for storage or operational use in accordance with this Privacy Policy. Uploaded content is retained only for so long as necessary to provide the relevant service, comply with legal obligations, or support legitimate business operations.

Camera, Bluetooth, and Microphone: The Mobile App does not request access to, collect, or use data from the device’s camera, Bluetooth functionality, or microphone. The Mobile App does not collect audio recordings, video recordings, biometric data, or proximity-based signals, and does not engage in device-to-device communication or background scanning.

Location Data: The Mobile App does not currently request, access, or collect precise or approximate location data, including GPS coordinates, Wi-Fi–based location, or Bluetooth-derived location information. If location-based functionality is introduced in the future, such as features tied to warehouse locations or operational efficiencies, users will be provided with clear advance notice describing the nature and purpose of the location data collection. Location data will be collected only with the user’s explicit consent through device-level permission prompts and an updated Privacy Policy, and users will retain the ability to modify or withdraw consent at any time.

4. YOUR PRIVACY RIGHTS AT OLIMP

At Olimp, we respect your ability to know, access, correct, transfer, restrict the processing of, and delete your personal data. We have provided these rights to our global customer base and if you choose to exercise these privacy rights, you have the right not to be treated in a discriminatory way nor to receive a lesser degree of service from Olimp. Olimp does not sell your data.

To exercise your privacy rights and choices including where a third-party service provider is acting on Olimp’s behalf, visit the Olimp Data and Privacy page. To help protect the security of your personal data, you must sign in to your account and your identity will be verified. If the Data and Privacy page is not available in your region, you can make privacy rights requests at privacy@olimpwarehousing.com.

There may be situations where we cannot grant your request for example, if you ask us to delete your transaction data and Olimp is legally obligated to keep a record of that transaction to comply with the law. We may also decline to grant a request where doing so would undermine our legitimate use of data for anti-fraud and security purposes, such as when you request deletion of an account that is being investigated for security concerns. Other reasons your privacy request may be denied are if it jeopardizes the privacy of others, is frivolous or vexatious, or would be extremely impractical.

5. PERSONAL DATA OLIMP COLLECTS FROM YOU

At Olimp, we believe that you can have great products and great privacy. This means that we strive to collect only the personal data that we need. The personal data Olimp collects depends on how you interact with Olimp. Descriptions of how Olimp handles personal data for certain individual services are available either in settings related to those features.

Olimp may collect a variety of information, including:

Account Information. Your Olimp ID and related account details, including email address, account status, and other information you choose to provide. Olimp does not currently collect user age, device trust scores, or persistent device identifiers. However, we may collect device identifiers or similar technical information in the future in connection with security features, fraud prevention, account verification, or mobile application functionality. If such collection is implemented, this Privacy Policy will be updated accordingly.

Device Information. Data from which your device could be identified, such as device serial number, or about your device, such as browser type;

Contact Information. Data such as name, email address, physical address, phone number, or other contact information;

Payment Information. Data about your billing address and methods of payment, such as bank details, credit, debit, or other payment card information;

Transaction Information. Data about purchases of Olimp products and services or transactions facilitated by Olimp, including purchases on Olimp platforms;

Fraud Prevention Information. Data used to help identify and prevent fraud;

Usage Data. Data about your activity on and use of our offerings, such as app launches within our services, including browsing history; search history; product interaction; crash data, performance and other diagnostic data; and other usage data;

Financial Information. Details including assets information were collected, and information related to Olimp-branded financial offerings;

Government ID Data. In certain jurisdictions, we may ask for a government-issued ID in limited circumstances, including when setting up a wireless account and activating your device, for the purpose of extending commercial credit, managing reservations, or as required by law;

Other Information You Provide to Us. Details such as the content of your communications with Olimp, including interactions with customer support and contacts through social media channels

You are not required to provide the personal data that we have requested. However, if you choose not to do so, in many cases we will not be able to provide you with our products or services or respond to requests you may have.

6. MOBILE APP DATA LIMITATION

The categories of personal data described above reflect the types of information that may be collected across Olimp’s various products, services, and business relationships. Not all such categories are collected through the Olimp mobile application.

The Mobile App is designed to collect only limited information necessary to support its core functionality, and certain data categories such as government-issued identification, financial account details, payment information, salary or asset information, and other sensitive personal data, apply solely to specific services, contractual arrangements, or legal obligations and are not collected from users solely by virtue of downloading or using the Mobile App.

To the extent personal data is collected through the Mobile App, such collection is limited to information voluntarily provided by the user or automatically generated through app usage in accordance with this Privacy Policy and the Mobile Application Privacy Disclosures section.

7. PERSONAL DATA OLIMP RECEIVES FROM OTHER SOURCES

Olimp may receive personal data about you from other individuals, from businesses or third parties acting at your direction, from our partners who work with us to provide our products and services and assist us in security and fraud prevention, and from other lawful sources.

Individuals. Olimp may collect data about you from other individuals for example, if that individual has sent you a product or gift card, invited you to participate in an Olimp service or forum, or shared content with you.

At Your Direction. You may direct other individuals or third parties to share data with Olimp. For example, you may direct your mobile carrier to share data about your carrier account with Olimp for account activation, or for your loyalty program to share information about your participation so that you can earn rewards for Olimp purchases.

Olimp Partners. We may also validate the information you provide for example, when creating an Olimp ID, with a third party for security, and for fraud prevention purposes.

For research and development purposes, we may use datasets such as those that contain images, voices, or other data that could be associated with an identifiable person. When acquiring such datasets, we do so in accordance with applicable law, including law in the jurisdiction in which the dataset is hosted. When using such datasets for research and development, we do not attempt to reidentify individuals who may appear therein.

8. OLIMP’S USE OF PERSONAL DATA

Olimp uses personal data to power our services, to process your transactions, to communicate with you, for security and fraud prevention, and to comply with the law. We may also use personal data for other purposes with your consent.

Olimp uses your personal data only when we have a valid legal basis to do so. Depending on the circumstance, Olimp may rely on your consent or the fact that the processing is necessary to fulfill a contract with you, protect your vital interests or those of other persons, or comply with the law. We may also process your personal data where we believe it is in our or others’ legitimate interests, taking into consideration your interests, rights, and expectations. Power Our Services. Olimp collects personal data necessary to power our services, which may include personal data collected to improve our offerings, for internal purposes such as auditing or data analysis, or for troubleshooting.

Analytics and App Performance: Olimp uses Firebase Analytics to collect information about how users interact with the Olimp mobile application in order to monitor application performance, identify errors, understand feature usage, and improve overall functionality and user experience. Firebase Analytics may collect data such as application launch events, feature interactions, session duration, crash reports, performance metrics, and limited device-related information, including operating system version, device model class, and application version.

The analytics information collected through Firebase Analytics is used solely for internal operational purposes, including troubleshooting, performance optimization, and product development. This data is collected in an aggregated and/or pseudonymized form and is not used by Olimp to directly identify individual users, engage in behavioral advertising, or track users across third-party apps or websites.

To the extent Firebase Analytics processes information on Olimp’s behalf, such processing is subject to contractual restrictions requiring the data to be used only in accordance with Olimp’s instructions and applicable data protection laws.

Process Your Transactions. To process transactions, Olimp must collect data such as your name, purchase, and payment information.

Communicate with You. To respond to communications, reach out to you about your transactions or account, market our products and services, provide other relevant information, or request information or feedback. From time to time, we may use your personal data to send important notices, such as communications about purchases and changes to our terms, conditions, and policies. Because this information is important to your interaction with Olimp, you may not opt-out of receiving these important notices.

Security and Fraud Prevention. To protect individuals, employees, and Olimp and for loss prevention and to prevent fraud, including to protect individuals, employees, and Olimp for the benefit of all our users, and prescreening or scanning uploaded content for potentially illegal content, including child sexual exploitation material.

Local Storage and Cached Data: The Olimp mobile application may store limited non-sensitive information locally on a user’s device to improve app performance, enable offline functionality, and maintain user preferences. This may include cached operational data, non-sensitive settings, temporary logs, or files that are required for the app to function efficiently. Some of this locally stored data may be synchronized with Olimp’s servers to ensure continuity across sessions and devices, facilitate troubleshooting, or support authorized operational workflows. Olimp takes reasonable steps to ensure that locally stored and synchronized data is minimized to the extent necessary for app functionality. All cached and locally stored data is retained only for as long as necessary to provide the relevant service or fulfill legitimate business or legal purposes. Users may clear cached data or uninstall the app at any time, which will remove locally stored information from the device. Olimp does not use local storage to track users, collect sensitive personal data, or gather data for advertising purposes.

Personal Data Used for Personalization. If you choose to personalize your services or communications where such options are available, Olimp will use information that we collect so that we can offer you those personalized services or communications. You can learn more about how relevant services use the information to personalize your experience by reviewing the privacy information presented when you first use a service that asks to use your personal data. We make this information easy to find by presenting it with our Data & Privacy icon; it’s also available at all times on your Olimp device and online at http://olimpwarehousing.com/privacy-policy.

Comply with Law. To comply with applicable law for example, to satisfy tax or reporting obligations, or to comply with a lawful governmental request.

Olimp does not use algorithms or profiling to make any decision that would significantly affect you without the opportunity for human review.

Olimp retains personal data only for so long as necessary to fulfill the purposes for which it was collected, including as described in this Privacy Policy or in our service-specific privacy notices, or as required by law. We will retain your personal data for the period necessary to fulfill the purposes outlined in this Privacy Policy and our service-specific privacy summaries. When assessing retention periods, we first carefully examine whether it is necessary to retain the personal data collected and, if retention is required, work to retain the personal data for the shortest possible period permissible under law.

9. OLIMP’S SHARING OF PERSONAL DATA

Olimp may share personal data with Olimp-affiliated companies, service providers who act on our behalf, our partners, developers, and publishers, or others at your direction. Further, Olimp does not share personal data with third parties for their own marketing purposes.

Service Providers. Olimp may engage third parties to act as our service providers and perform certain tasks on our behalf, such as processing or storing data, including personal data, in connection with your use of our services and delivering products to customers. Olimp service providers are obligated to handle personal data consistent with this Privacy Policy and according to our instructions. They cannot use the personal data we share for their own purposes and must delete or return the personal data once they’ve fulfilled our request.

Third-Party Software Development Kits: The Olimp mobile application may integrate third-party software development kits (SDKs), including analytics, crash-reporting, performance monitoring, and error-detection tools, to support app functionality, ensure operational stability, and enhance the user experience.

These third-party SDKs may process limited technical information about the app and device, such as app version, operating system, performance metrics, crash logs, and anonymized usage patterns. All data collected by these SDKs is processed solely on Olimp’s behalf and in accordance with Olimp’s instructions, applicable privacy laws, and contractual obligations that prevent the SDK providers from using the data for independent purposes, including advertising.

Olimp does not share personally identifiable information with SDK providers for their own marketing or analytics purposes. The Mobile App only transmits the minimum necessary information required for SDK functionality, and no SDK is permitted to access the device’s camera, microphone, location, or photo library without explicit user consent.

Users retain the ability to control the Mobile App’s data collection settings through device-level permissions and app settings, and uninstalling the app will terminate data collection by all embedded SDKs.

Partners. At times, Olimp may partner with third parties to provide services or features in connection with the Platform. In such cases, Olimp requires its partners to protect your personal data and to use it only for the purposes for which it was shared and in accordance with applicable law.

Others. Olimp may share personal data with others at your direction or with your consent, such as when we share information with your carrier to activate your account. We may also disclose information about you if we determine that for purposes of national security, law enforcement, or other issues of public importance, disclosure is necessary or appropriate. We may also disclose information about you where there is a lawful basis for doing so if we determine that disclosure is reasonably necessary to enforce our terms and conditions or to protect our operations or users, or in the event of a reorganization, merger, or sale.

10. PROTECTION OF PERSONAL DATA AT OLIMP

At Olimp, we believe that great privacy rests on great security. We use administrative, technical, and physical safeguards to protect your personal data, taking into account the nature of the personal data and the processing, and the threats posed. 11. COOKIES AND OTHER TECHNOLOGIES

Olimp’s websites, online services, interactive applications, and advertisements may use “cookies” and other technologies such as web beacons. These technologies help us to better understand user behavior including for security and fraud prevention purposes, tell us which parts of our websites people have visited, and facilitate and measure the effectiveness of advertisements and web searches.

Mobile App Tracking: The Olimp mobile application does not track users across apps, websites, or services owned by other companies for advertising or profiling purposes. Olimp does not use device advertising identifiers, cross-app identifiers, or similar tracking mechanisms to link a user’s activity on the Mobile App with activity in other apps, websites, or offline services. The Mobile App collects only the minimum data necessary to provide its core functionality, support operational performance, and improve user experience, in accordance with the Mobile Application Privacy Disclosures, Device Permissions and Access, and Analytics and App Performance sections of this Privacy Policy. Users have control over any data collected within the Mobile App through device-level permissions and app settings, and no personal data collected for app functionality is sold, shared with third parties for marketing purposes, or used to create cross-context behavioral profiles. This approach ensures compliance with applicable privacy laws and the tracking restrictions required by the Apple App Store, Google Play, and other relevant mobile platforms.

Communications Cookies. These cookies are used to enable network traffic to and from Olimp’s systems, including by helping us detect any errors.

Strictly Necessary Cookies. These cookies are set as required to provide a specific feature or service that you have accessed or requested. For example, they allow us to display our websites in the proper format and language, to authenticate users, maintain session security, and preserve the contents of your Account Data on olimpwarehousing.com.

Other Cookies. These cookies are used to understand how visitors interact with our websites and online services, including by helping us to assess the effectiveness of advertisements and web searches. Olimp also uses these cookies to remember the choices you make while browsing, so we can provide you with a customized experience.

If you prefer that Olimp not use cookies, we provide you with the means to disable their use. If you want to disable cookies and you’re using the Safari web browser, choose “Block all cookies” in Safari’s privacy settings. If you are using a different browser, check with your provider to find out how to disable cookies. Certain features of the Olimp website may not be available if all cookies are disabled.

In addition to cookies, Olimp uses other technologies that help us achieve similar objectives.

In some email messages Olimp sends to you, we provide a “click-through URL” that links you to content on the Olimp website. When you click one of these URLs, they pass through a separate server before arriving at the destination page on our website. We track this click-through to help us determine interest in particular topics and measure whether we are communicating with you effectively. If you prefer not to be tracked in this way, you should not click graphic or text links in email messages.

Olimp generally treats data we collect using these cookies and similar technologies as nonpersonal data. However, to the extent that Internet Protocol (IP) addresses or similar identifiers are considered personal data by local law, we also treat these identifiers as personal data in those regions. In addition, Olimp sometimes combines nonpersonal data collected from these technologies with other personal data Olimp holds. When we combine data in this way, we treat the combined data as personal data for purposes of this Privacy Policy.

12. TRANSFER OF PERSONAL DATA BETWEEN COUNTRIES

Olimp products and offerings connect you to the world. To make that possible, your personal data may be transferred to or accessed by entities around the world, including Olimp-affiliated companies, to perform processing activities such as those described in this Privacy Policy in connection with your use of our products and services. Olimp complies with laws on the transfer of personal data between countries to help ensure your data is protected, wherever it may be.

The Olimp entity that controls your personal data may differ depending on where you reside and the services you use. If you do not reside in the United States, your personal data may be processed by Olimp Corp. and/or other Olimp-affiliated companies on behalf of the Olimp entity responsible for your jurisdiction, in accordance with this Privacy Policy and applicable law.

13. OUR COMPANYWIDE COMMITMENT TO YOUR PRIVACY

To make sure your personal data is secure, we communicate our privacy and security guidelines to Olimp employees and strictly enforce privacy safeguards within the company.

If you have questions about Olimp’s Privacy Policy or privacy practices including where a third-party service provider is acting on our behalf, would like to contact our Privacy Team, or would like to submit a complaint, you can contact us at privacy@olimpwarehousing.com. You can also ask us questions about how to submit a privacy complaint and we will endeavor to help.

Olimp takes your privacy questions seriously. A dedicated team reviews your inquiry to determine how best to respond to your question or concern, including those inquiries received in response to an access or download request. In most cases, all substantive contacts receive a response within seven days. In other cases, we may require additional information or let you know that we need more time to respond.

Where your complaint indicates an improvement could be made in our handling of privacy issues, we will take steps to make such an update at the next reasonable opportunity. In the event that a privacy issue has resulted in a negative impact on you or another person, we will take steps to address that with you or that other person.

14. MATERIAL CHANGES TO THE POLICY

If you are not satisfied with Olimp’s response, you may refer your complaint to the applicable regulator. If you ask us, we will endeavor to provide you with information about relevant complaint avenues which may be applicable to your circumstances.

When there is a material change to this Privacy Policy, we’ll post a notice on this website at least a week in advance of doing so and contact you directly about the change if we have your data on file.

If Olimp makes a material change to the Mobile App that affects the collection, use, disclosure, or sharing of personal data, Olimp will provide notice to users through the Mobile App, by email (if the user has an account), or through other appropriate means before the change takes effect.

Material changes may include, but are not limited to:

Addition of new device permissions or features that collect personal data;

Introduction of new third-party SDKs or analytics tools;

Changes in the types of personal data collected, stored, or shared;

Changes to data retention practices; or

Changes in the ways personal data is shared with third parties.

Users will have the opportunity to review the updated Privacy Policy before continuing to use the Mobile App. If a user does not agree with the material changes, they may withdraw consent by adjusting app permissions, discontinuing the affected features, or uninstalling the Mobile App.

Olimp will ensure that all updates comply with applicable privacy laws and mobile platform requirements, including those imposed by the Apple App Store and Google Play.
